Short Term Rental Guide

A STEP-BY-STEP GUIDE FOR FIRST-TIME AIRBNB investors

Buying and launching your first Airbnb can feel overwhelming, especially when you’re not sure where to start. This step-by-step guide walks you through identifying the right property, analyzing its rental potential and operating costs, navigating the purchase, and launching your short-term rental. Following these steps will help you get organized, make informed investment decisions, and prepare to welcome your first guests.

STEP 1: RESEARCH

Start by deciding where you’d like to buy and what type of short-term rental you want to offer. Research the area’s visitor attractions, seasonal demand, and competing Airbnbs. Review their amenities, advertised nightly rates, and guest feedback to understand what travelers are looking for.

Check local short-term rental requirements and any HOA or deed restrictions to determine where your intended rental use may be allowed. This groundwork will help you identify promising areas and give your property search a clear direction.

Establish how much you can invest in the purchase and setup of your rental. Include your down payment, closing costs, and an allowance for repairs, furnishings, supplies, and launch expenses.

Build an operating budget covering mortgage principal and interest, property taxes, insurance, utilities, cleaning, platform fees, management, and maintenance. Compare those expenses with conservative rental-income projections to estimate potential cash flow.

Set aside a reserve for unexpected costs and slower booking periods. Your budget should account for both the initial investment and the ongoing cost of ownership.

STEP 2: DECIDE ON YOUR BUDGET

STEP 3: GET PREQUALIFIED

Speak with a mortgage professional experienced in short-term rentals to determine which financing programs you qualify for. Explain your intended rental use and compare loan terms, rates, fees, and any prepayment penalties.

A common option is a DSCR loan, or Debt Service Coverage Ratio loan. Qualification focuses primarily on the property’s rental income, which the lender compares with its mortgage payment, taxes, insurance, and any HOA dues. Depending on the program, documented Airbnb income or lender-approved rental projections may be used.

Approval also depends on your credit, down payment, reserves, and the property. Work toward lender preapproval before making an offer so you can demonstrate your financing readiness to sellers.

STEP 4: CHOOSE A SHORT-TERM RENTAL MANAGEMENT COMPANY

Look for a management company with local experience, transparent fees, and clear communication. Review what’s included, how expenses and maintenance are handled, and how you’ll receive updates on your property’s performance.

My wife and I own and operate Foothill Management Services, serving the greater Nevada County area. We offer expert guidance, design services, and white-glove short-term rental management tailored to your property and ownership goals.

One of our anchor listings, Triangle Ranch, was featured on Airbnb’s landing page for three weeks and included in its 2023 selection of most-wishlisted new stays worldwide. Our hands-on operating experience helps us guide owners and deliver attentive service to their guests.

STEP 5: FIND THE RIGHT PROPERTY

I’ll arrange showings of properties within your purchasing range and help you evaluate how each could work as a short-term rental. Pay attention to the layout, sleeping spaces, privacy, parking, outdoor areas, and year-round access.

During each showing, note the home’s condition, upkeep needs, and features that could help it stand out to guests. Explore the neighborhood to get a feel for traffic, noise, and convenience to local attractions.

We’ll use those observations to narrow your options and identify a property that fits your rental strategy.

STEP 6: MAKE AN OFFER

Once you’ve selected a property, I’ll help you craft a competitive offer based on comparable sales, its condition, and current market activity.

We’ll establish the purchase price, financing terms, contingencies, closing timeline, and any requests for seller credits. I’ll explain your commitments so you understand the offer before submitting it.

If the seller counters, I’ll help you evaluate the changes and negotiate toward an agreement. Once both parties agree and the contract is signed, we’ll open escrow.

STEP 7: HAVE THE HOME INSPECTED

I’ll help coordinate professional inspections within your contractual deadlines to assess the home’s condition and identify safety concerns or needed repairs. Depending on the property, additional evaluations may include the roof, pests, well, and septic system.

We’ll review the findings and obtain repair estimates where needed. If significant issues arise, I’ll help you evaluate your options under the purchase agreement, including requesting repairs or credits, renegotiating terms, or canceling within applicable contingency deadlines.

STEP 9: GET A HOME APPRAISAL

Your lender will typically order an appraisal to obtain an independent opinion of the property’s market value and determine whether it supports the proposed loan. For DSCR financing, the lender may also require an acceptable rental-income analysis.

If the value comes in below the purchase price, I’ll help you review possible adjustments with the lender and seller, subject to your loan requirements and purchase agreement.

STEP 10: COMPLETE PAPERWORK & CLOSE ESCROW

I’ll coordinate with your lender and escrow team to keep closing on track. You’ll review and sign the required documents, confirm closing costs, and transfer funds using verified escrow instructions.

Once funding and recording are complete and escrow confirms closing, the property is yours. Possession will be delivered as agreed in your purchase contract.
